Administrative Support (Part-time 0.5 EFT)

OFE is a private, faith-based, non-profit organization. Our mission is to assist adults to achieve self-sufficiency through full-time, long-term employment. We are currently recruiting for the following position in our growing organization:

Administrative Support

0.5 EFT   (10:00 am to 1:45 pm Monday to Friday)

The Administrative Support position involves a variety of support functions for our Employer Partnerships Department as well as assisting with participant recruitment activities. The individual needs to be one who multitasks well and enjoys the supportive role of assisting Opportunities for Employment (OFE) staff accomplish our collective goals and objectives.

Overview:

        • Sets up information sessions and invites participants
        • Calls program applicants regarding acceptance/non-acceptance and set-up assessment sessions
        • Communicates with OFE staff and referral partners regarding participant engagement
        • Creates, updates and prints documents and spreadsheets as required.
        • Types correspondence and reports as instructed.
        • Schedules participants for appointments.
        • Assists individuals in the application process
        • Receives guests and sets up for meetings
        • Contacts participants to confirm employment and provide follow-up support
        • Provides direct administrative support to Coaches, Facilitator(s) and Program Manager.
        • Purchases bus tickets and passes
        • Enters data, such as bus ticket distribution into the database.
        • Provides support to the OFE Administrative Team and Facilitators for holiday or break coverage and other instances of absence.


        Necessary Qualifications:

        • In-depth working knowledge of Microsoft Office applications.  Advanced skills in Word, Excel and Outlook.
        • Above average organizational abilities with clear understanding and attention to priorities.
        • Demonstrates consistent punctuality, accuracy and dependability.
        • Effective in both written and oral communications.
        • Excellent interpersonal skills.
        • Demonstrated ability to multi-task in a fast paced environment to meet tight deadlines.
        • Post-secondary education in accounting, administrative support or equivalent in experience.
